The reason most people give up on AI after a week is that they don't know how to talk to it. A well-written prompt is the difference between a generic paragraph that sounds like no one wrote it and a useful response you can actually send.

The problem with how most people use AI

Most business owners type something like "write me an email about my dental appointment reminders" and get back something that sounds like it was written by a committee in 1998. The AI isn't broken. The instruction is just too vague.

A super prompt gives the AI enough context to actually be useful. It tells the AI who you are, who you're talking to, what you want the tone to sound like, and what you want to happen at the end.

The anatomy of a prompt that works

  • Your role: who you are and what kind of business you run
  • Your audience: who you're communicating with
  • The goal: what you want this communication to accomplish
  • The tone: professional, warm, brief, detailed
  • Any constraints: word count, specific details to include or avoid

Keep it human.

How to make these work better over time

When you get a response you like, save it in a document called "Our AI Prompts." When something is off — tone, length, content — add a line at the end of the prompt like "avoid phrases like X" or "do not use the word Y." You're training your own custom shortcut. Within two or three tries, most prompts stabilize.
